Photography Production Coordinator

•Informing the photographer, his photo crew and post production team on calendar updates. •Acquiring photographers’ feedback on creative, set design, and location proposals. •Ensuring all teams are up-to-date with creative and timing needs prior to a shoot. •Discussing photographers’ preference on studios, fashion team, beauty team, and production team. •Optioning digital techs, assistants, stylists, hair stylists, makeup artists, set designers, and DP’s.•Updating production sheets with all relative shoot information.•Creating photography project estimates and adjusting figures as the nature of the project evolves.•Securing photography equipment prior to each shoot.•Securing travel accommodations and sharing travel itineraries with corresponding teams. •Negotiating, approving, and paying vendor invoices. •Organizing and maintaining all documents in regards to project creative, agreements, and billing. •Coordinating contact info and call times in order to generate an accurate call sheet. •Acting as the on-set producer when needed.•Acquiring final art deadlines, post production schedules, and client/photographer edits. •Liaising with retouchers and clients through each retouching round before final delivery. •Updating booking system with latest projected fees and expenses. •Submitting weekly commercial booking reports to upper management and fielding job related questions.•Reconciling the division’s amex and ensuring proper backup is provided. •Communicating estimated project fees and expenses with the photographer’s accountant. •Collecting all photographer and vendor bills in order to draft a final invoice. •Approving advance invoices, final invoices, and submitting them directly to the client.•Reconciling flat budget projects by coordinating projected fees and expenses with the photographer. •Liaising with the AR and AP internal teams when vendors and photographers inquire on payment status.
