· Review and Process Invoices and employee reimbursement claims daily· Ensure all transactions meet Company guidelines and Internal Control requirements.· Process EFT and ACH transactions· Prepare monthly AP aging reports with details of problematic past due invoices as needed· Maintain the vendor master file for new and existing vendors· Assure receipt of proper IRS W-9 documentation for vendor files· Communicate with other departments, and vendors regarding invoice/payment issues and requests· Run checks daily· Accumulate and organize all AP related documents in files or binders. Update physical files periodically and archive old documents · Respond to calls, e-mails and any other AP enquires· Assist AP supervisor and other members of the accounting staff as needed· Reconcile cleared checks with outstanding checks list.· Update daily cash activity files for various bank accounts. · Prepare AP and Bank reconciliation.· Analyze accruals and prepaid accounts and reconcile inter-company accounts.· Produce and distribute company monthly budget variance report.
