This is a contract position as an Event Manager to produce Digital Ascendant (2-day session + Council meeting/reception) and Retail Ascendant (1 day session + Council meeting/reception) events plus a themed reception at the home of the company’s CEO & Founder in Palo Alto, CA. It required a close working rapport with the Lead Event Manager and COO to ensure the Ascendant Network’s programming goals were realized through high-level and memorable community experiences and effective onsite execution. The bar of expectation was set to produce a seamless, white-gloved experience across the programs. Primary responsibilities included the following: -Local restaurant identification and sourcing for two offsite dinners which include contract negotiation, contract execution, menu planning, transportation, sponsorship integration and onsite management. -Sourcing of multiple vendors to bring creative vision to life for the return of intimate dinner reception at home of CEO & Founder. This included site visits, as well as securing themed cuisine, décor, and managing vendors and attendees onsite. Similar to restaurant sourcing, criteria was established and local vendors provided proposals within budget, location and theme. Event overview and layout were created to coordinate with the internal team and venue on expectations, timing, vision, setup, flow and high-level service expectations. -Onsite responsibilities include daily management of food and beverage, room set up according to layout and attendance. as well as registration management, printing requests, name tags and vaccination check for all attendees, staff, and vendors. Position requires weekly attendance and participation in team meetings, pre-conference and post-conference meetings, as well as written updates to operational and procedural documents.

This position supports the Wells Fargo Meeting & Events (WFME) team. Sourcing and contracting for all meeting related suppliers to include, but not limited to hotels, offsite venues, food and beverage, audio visual/production, transportation, destination management companies, etc. Researches site locations; prepares requests for vendor bids and reviews bids for competitiveness; negotiates site and service contracts for facilities, transportation, lodging, food, entertainment, events and related activities, speakers, activities, and/or entertainment; develops program budgets. Establishes and maintains ongoing vendor relationships to ensure they are cost-effective and deliver quality service. Responsible for identifying and seeking guidance to mitigate all inherent risks.
