 Prepare Fortnightly and Monthly payroll returns. Prepare Monthly attendance returns for Human Resources. Ensure all S.L.A.’s are up to date and records of same are recorded. Ensure all appropriate documentation for Contractors is maintained (Insurance,Safety statements etc.). Ensure all method statements for works to be carried out are submitted on time. Assist with reconciliation of all Purchase orders against all Capital project budgets. Collate all required documentation for tenders and projects. Maintain and update all General Ledger codes under the Facilities Department remit. Maintain the Purchase Requisition system in line with the Procurement departmentand Procurement policies. Monitor, update, and report to the Facilities Manager on the department CapEx andOpEx budgets. Implement and update under the guidance of the Facilities Manager all S.O.P.’s, Policies andProcedures relating to the Department. Assist with Critical Service Testing and log data. Investigate all Comment cards and Incident forms where appropriate and preparereport for submission to Clinical Governance. Maintain all training records for the department ensuring all staffs training iscompleted and up to date. Coordinate and assist with the hospital Legionella prevention plan. Maintain the Fixed Asset register. Maintain and update the Facilities Department folder on the Shared drive. Prepare daily work orders. Conduct area audits as directed. Undertake work scheduling analysis to determine efficiencies in relevant trades. Assist the department in the development and management of rolling maintenanceplans. Maintain and update the access control system including delivery of room keys andstaff Fobs. Be the department point of contact for all Garda Vetting requirements ensuring allcontractors attending site have adequate garda vetting clearance and maintain theGarda Vetting log.
