Export SpecialistThales Defense & Security, Inc. Jan 2012 - Jan 2014Clarksburg, MarylandPrepared shipping paperwork (utilizing OCR Ease software) involved in the permanent and temporary export of Thales products including incorporating information from the applicable license agreement, assigning the correct Harmonized Tariff Schedule (HTS) code to each item being shipped, providing any special packing and shipping information and any applicable exemptions if a license is not required. This includes arranging details of shipments with freight forwarders and carriers as necessary, including providing licenses for lodging with US Customs. The nature of Thales’ products requires proficiency in both Department of Commerce and State Department's export regulations, including: the ITAR (International Traffic in Arms Regulations and the EAR (Export Administration Regulations) and other applicable government bodies' regulations. Prepared export paperwork and obtained carnets for business development and training personnel to travel internationally and hand carry equipment for loan and demo purposes or attendance at trade shows. Created a carnet filing system and developed a department procedure for retrieving and returning carnets to the USCIB before they were due to expire to avoid fees and penalties. Filed all export transactions not being handled by a freight forwarder with AES, the US Census Bureau electronic export information system required for compliance. Maintain electronic (SharePoint) and hard copy files of all export transactions for audit purposes.

Order Management SpecialistThales Defense & Security, Inc. Jun 2003 - Jan 2012Clarksburg, MarylandCoordinated the day-to-day functions required for entry of all Thales customer orders into the system to create purchasing and manufacturing demand (PeopleSoft). Orders would arrive from various sources such as Customer Service, Contract Managers, or via the eStore (web). Types of orders varied from small credit card orders to multi-million dollar government contracts. All orders had to be reviewed for accuracy (e.g., correct Thales part numbers and contract pricing, etc.) and pertinent information extracted to be entered into the system. Coordinated the process with proper personnel (e.g., engineering, product manager, cost accounting) to add new products into PeopleSoft as they were required. Created each new sales order project in electronic document imaging system (Image Now) and routed through system for management and export (if appropriate) approvals and signoff. After orders had been routed through all appropriate channels and approved, I distributed via email to appropriate personnel throughout the company (manufacturing, product managers, contract managers). Submitted weekly bookings reports to senior management for approval and subsequent widespread management distribution. Performed a weekly financial reconciliation process to ensure bookings/backlog/shipments for the company were in balance and worked with IT to troubleshoot any out of balance issues that occurred. Provided numerous PeopleSoft queries and reports to co-workers as requested. Served for a time as Price List Manager, receiving requests to add new products to our Customer Service database with pricing to enable sales personnel to quote and sell the new products to customers. Maintained the database and distributed Master Price Lists to sales, marketing, contracts, and financial personnel.
