My role at Buro Four was initially as a Junior Secretary, after approx. 1.5-2 years I progressed to Team Secretary whereby my role expanded to support a team of approx. 12 including the following duties: typing of general correspondence including minutes, letters and reports; dictation and audio typing; production of Visio documents (typically plans of work and flowchart/process diagrams) and PowerPoint presentations; photocopying, binding and scanning; extensive diary management including organising meetings, lunches and refreshments and internal/external team events; occasional travel to the Middle East office to provide secretarial assistance/cover; booking meeting rooms, organising teleconferences and VC and travel bookings (including overseas) and accommodation; providing reception/switchboard relief cover on a rota basis. I am now Senior Team Secretary which includes all of the above plus distribution of workloads in absence of other Team PAs (3 London based secretaries and 1 regional based); allocation of secretaries to teams; joint chair of secretarial meetings, including production of agenda and minutes; to train and assist new appointments on all aspects of the team secretarial role; assistance in interviewing and selecting new appointments; jointly monitor individuals’ progress.
