Key Responsibilities:● Office Management: Create and maintain all files and systems for the entire operation of the office. Answer phones, emails, correspondence. Open all mail and distribute as required. Maintain all office supplies and equipment. Maintain all subcontractor files, license data, certificates of insurance and hold harmless agreements. ● Project Scheduling, Coordination, Planning, Reporting and Analysis: Complete and submit all permit forms to various local jurisdictions and assure that all related engineering, final permits are incorporated into the permanent job file. Coordinate and assist the sales designers and construction staff with all aspects through the construction process from scheduling and coordinating subcontractors to ordering equipment and materials. Schedule all inspections and notify field staff if corrections are needed for recall. ● General Ledger Accounting, Analysis, Budgeting, and Reporting: Compare bid cost breakdowns to actual costs to date for progress reporting and payroll related commission issuance. Upon job completion, finalizing job P&L for job close out and finalization of permanent job file. ● Subsidiary Ledger Accounting A/P, A/R, Payroll, Job Cost P&L, and Related Filing and Reporting - Enter all invoices and distribute for payment approval. Pay all invoices/bills weekly once approved. Enter all contracts and related receivables and record all payments. Make all deposits. Complete all monthly, quarterly and annual reconciliations. ● Train and mentored assistants as needed. Train new sales designers as to the office functions and how they should utilize office staff to make their jobs more effective and efficient.
