Source and research hotels, meeting spaces, hospitality, catering, and ground transportation as required by Client Service Teams and internal GMR Teams. Collaborate with Client Service Teams and internal GMR teams for selection of hotel properties and meeting venues. Secure and coordinate ground transportation in collaboration with Client Service Teams and internal GMR teams as needed. Review and negotiate hotel, meeting space, and ground transportation contracts as needed to meet program and budget expectations for Client Service Teams and internal GMR Teams. Manage rooming lists in working with Client Service Teams, internal GMR teams, and hotels to ensure room block accuracy. Collaborate with Client Service Teams and internal GMR teams to secure proper meeting rooms and room set-up/preparation. Coordinate food, beverage, and audio visual needs for Client Service Teams and internal GMR teams as needed. Route and return GMR-signed contracts to vendors for hotels, meeting space, group blocks, food and beverage, and ground transportation as required. Assist in developing and managing department processes and procedures to ensure smooth development and execution of travel related requests. Assist in managing the integration of travel related work with various GMR Support Teams and provide “trouble shooting” assistance to resolve issues when necessary. Manage the RFP process to source group hotels, destinations, services, meeting locations, ground transportation, and costs as needed.
