Coordinate and prepare the Planning Board Agendas to assist the Prince George's County Planning Board Commissioners, Planning Director and Division Chiefs to effectively manage the Planning Board’s hearing schedule and coordinate the Planning Department’s development review responsibilities. Upload and maintain the Planning Board Agendas on the Commission's website utlizing content management and IQM2. E-mail approx. 1,000 citizens, officials using Constant Contact. Coordinate and prepare the Web Agenda to be launched on the M-NCPPC website; type and prepare the Short Agenda to be mailed to the public; draft and finalize correspondence (Hot Items) for the Chairman’s and/or Director’s signature; prepare and mail Notices as required by legislation of pending cases in the Development Review Division; create and maintain mailing lists, create, track and maintain filing system; and filing of all required documents within established timeframes provide back-up in the Office Supervisor’s absences; other various administrative duties (i.e, research application information for customers using DAMS (Development Application Monitoring System) and/or Permit Tracking Database; receive, log and stamp all incoming mail and distribute to each staff reviewer and/or technician’s office. Deliver outgoing mail to copy center, track mail, site plans, and applications using Microsoft Access. Prepare Planning Board Review Sheet in Excel for supervisors & division chief on a weekly basis. Prepare Subdivision Review Committee Agenda & e-mail to appropriate staff & contact list using Microsoft Word & Microsoft Outlook. Schedule conference room requests for staff using Microsoft Outlook. Provide copying & faxing services to staff & customers. Proofread permit comments. Collect, check & correct bi-weekly timesheets for accuracy.
