-Provide administrative support for PPA’s Chief Executive Officer, Chief Financial Officer/Chief Operations Officer, Board of Directors, and PPA’s Council. -Set and manage the daily schedules and calendars of company executives.-Serve as the Secretary to the Board of Directors by documenting meetings and coordinating events. -Maintain and update a master copy of all corporate governing and association documents.-Prepare and/or edit documents, such as expense reports, memos, and invoices -Oversee all association committee budgets, deadlines, communications and meetings.-Handle confidential and non-routine information and explain corporate policies when necessary.-Negotiate with service providers to get the best price for products and services. This includes event production, food and beverage, and audiovisual. -Collaborate with the hotel to oversee travel, room specifications, transportation arrangements, registration, housing, and entertainment.-Manage project timelines for interdepartmental initiatives.-Oversee the budget for the Executive department and Board of Directors, making recommendations for future cost savings.-Create, improve, and document new and existing internal processes within the association.

-Managed multi-year agreements for annual sponsorships and event sponsorships. -Created and executed vendor opportunities and customer experiences at annual confidence, Imaging USA (10,000 + attendees)-Collaborated with the Marketing and Membership department to fulfill all sponsorship agreements. This includes design, messaging, and social media posts.-Managed corporate member/vendor benefits and regularly communicated with corporate members who participated in advertising programs. -Updated sales department promotional materials including the media kit, sponsorship packages, exhibitor prospectus, sales sheets, and ad packages.-Developed and monitored budgets for advertising promotions to generate new business.-Provided feedback and reports to all stakeholders.-Conduct pre- and post – event evaluations and report on outcomes.

-Contributed to the development and execution of ongoing marketing and sales initiatives to expand the reach of PPA’s education resources to members.-Communicated with Imaging USA instructors and planned for their needs with on-site speaker support.-Coordinated invoices and payments for instructors and clients on a regular basis.-Assisted in communications and scheduling of educational content with members, clients, presenters, and program attendees.-Setup education programs in PPA’s association management system.- Coordinated the Photography Workshop educational program twice per year; Recruited program instructors, reviewed all data entered by instructors, created online registration events, ensured accuracy of information posted on the website, and collected/analyzed program evaluations.-Hosted instructor training and live webinars.
