I perform the full range of Facilities Management oversight of a 5-star rated (green building council) four-storey office building. The portfolio includes all electrical, mechanical, safety, environmental and other facilities systems. In addition to the integrated, there are also some external systems like a rain harvesting system, solar system (producing more than 600,000 kilowatt-hours of solar power per year), Chemical/Biological HVAC filtration systems, and a two-story parking garage. The building has over 350 staff who receive all facilities-related services, including furniture, from my team. There are also multiple training rooms as the facility serves as a regional training platform.I supervise all maintenance, custodial, space reconfiguration, and other functions typical of my assignment. In addition, I exercise the day-to-day operational supervision over the building and assure that all systems are functioning effectively and efficiently. I provide oversight of all building related maintenance contracts and assure they are appropriate for the current state of facilities systems and oversee the ASP (Alternate Service Provider) contracts with the occupying agencies. I assure you that the office building complies with all Mission and Post Occupational Safety, Health, and Security program requirements in coordination with the Facilities Manager, Embassy Safety, Health, and Security Officers. I work with the FMO to prepare annual budget submissions covering needs for the building to include contract workload counts, maintenance contract services, and invoice reviews.As a maintenance manager, I review all re-configuration requests and determine if changes are within the capability of my team to complete internally and estimate the overall cost of labour, new parts, rewiring, and impact on adjacent occupants. I approve and make minor changes within delegated authority or work through the Facilities Manager to gain approval for major changes.I manage procurement and handling of all third-party service contracts, suppliers, and vendors. I direct maintenance procedures to assistant maintenance staff with an electronic work order system. In addition, I ensure that all buildings, grounds, and equipment are well maintained with monthly maintenance procedures and reporting. I am also responsible for the implementation and development of effective operations management policies and procedures which I review continuously. I compile and enter budget requests in GMMS (Global Maintenance Management System) for the BME - building maintenance.
