Executive Assistant
Current*Manage Executive Director's Calendar and Travel: Prioritize and schedule meetings, resolve conflicts, track tasks and deadlines, plan and coordinate 2-6 trips per month, and communicate changes effectively*Prepare for Events and Meetings: Coordinate with stakeholders to prepare the ED for speaking engagements, meetings, and decision-making, including developing presentations and agendas*Serve as Administrative Liaison: Act as the primary contact between the ED and staff, donors, members, partners, and government officials, manage cross-team collaboration, and manage inquire responses*Enhance Internal Communication: Develop, train, and implement SOPs for tools like Monday.com, Slack, and Google Calendar to improve internal collaboration*Support Organizational Planning: Project manage key executive projects, including organization-wide calendar development, annual budgeting and work planning, strategic planning process, and reorganization of leadership structures*Manage Governing Board: Plan 1-2 in-person retreats per year, schedule and facilitate agenda development for Board and Committee meetings, project manage recruitment, election, and onboarding processes, take notes and plan next steps*Drive Efficiency Among Leaders: Manage workflows of Leadership Teams’ meetings by developing project plans, providing strategic advice on timelines, and tracking to-do lists and agenda items*Advance Financial Planning: Improve the Executive Team’s financial planning by organizing and streamlining reporting of monthly expenses and monitoring budget for upcoming challenges*Balance Confidentiality and Transparency: Maintain confidentiality, integrity, accountability, and respect, and develop collaborative, transparent working relationships with colleagues
