CurrentKey responsibility was to provide professional secretarial and administrative support to Transcelestial CEO and leadership team executives. • To provide professional secretarial and administrative support to CEO and leadership team executives, and response to requests efficiently & timely. • Manage complex & hectic calendars, and scheduling of appointments across different time zones across the globe. • Organise and manage off-site meetings, including booking of venues, travel and accommodation. Responsibilities include meeting venues, arranging F&B, liaising with external vendors, coordinating prep meetings, agendas, presentations, and AV needs• Experience in creating detailed travel itineraries, coordination on travel itineraries, booking of hotel accommodation and more. • Booked & manage travel arrangements with no in-house travel agent for CEO and leadership team (flight reservation, visa application, hotel accommodation etc.) • Experienced in Visa Applications directly with Embassy or Visa Application Centres. • Documentation management, filing of expenses and office invoices in an organised manner. • Ordering of office supplies required for Singapore office (e.g. stationary, pantry supplies, namecards, sales corporate items )• Contribute to weekly team meetings & QBRs by assisting with the agenda, taking of minutes, and tracking action items.• Able to maintain professionalism and appropriately handle highly private & confidential information. • Coordinate effectively and efficiently with other business units, including Finance, Human Resource to ensure smooth running of processes. • Member of “Social Committee” to organise monthly social get- together events to foster collaboration and close working relationships for the whole company. • Other general/ administrative ad-hoc tasks as required
