Administrative Assistant/Personal Assistant
CurrentProvide direct administrative support to the President, accountable for executive calendar and scheduling, client relations, drafting correspondence, reports, travel arrangements, special projects, bookkeeping, presentation and proposal preparation, event planning, and vendor relations.Administrative Responsibilities▬▬▬▬▬▬▬▬▬▬▬▬▬▬✔Manage administration of the office and workflow by prioritizing projects, monitoring calendar, and handling meeting and conference call logistics. Maintain an efficient, professional office operation with a high degree of initiative and discretion.✔Screen telephone, mail and email communications and respond on the executive’s behalf. ✔Maintain and schedule executive calendars (personal & office) for appointments and meetings. ✔Prepare and edit Microsoft Word documents and PowerPoint Presentations. Conduct research and create project reports.✔Research and coordinate international and domestic executive travel and logistical arrangements including hotel and flight reservations, car services, entertainment, dining, excursions, travel plans/agenda, etc. ✔Consistently meet/exceed demands, expectations and deadlines through exceptional work ethic and commitment to excellence.Human Resource Accountabilities▬▬▬▬▬▬▬▬▬▬▬▬▬▬▬✔Hold additional accountability for human resource functions including employment (recruiting, hiring and terminations), new hire orientation, policies and procedures, wage and salary administration, payroll, employee benefits administration, employee relations, records maintenance, and unemployment.✔Maintain the company employee handbook, coordinate job descriptions and make updates as laws and management change.✔Screen and interview potential candidates for employment. Prepare paperwork for new hires and terminations including I-9s, direct deposit, and other documentation as required.✔Maintain excellent communications and positive relationships with staff to promote employee satisfaction.
